We process personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the rules of the Institute of Financial Accountants (IFA).
2. What information we collect
We collect personal data in three situations:
When you contact us through this website
- Name (first and last)
- Email address
- Phone number (optional)
- Business type and the services you're interested in
- Anything else you choose to tell us in the message field
When you become a client
- Identity documents required by anti-money-laundering (AML) regulations (e.g. passport or driving licence, proof of address)
- Financial records: bank statements, invoices, receipts, payroll data, tax records
- HMRC and Companies House identifiers (UTR, NI number, company number, VAT number, etc.)
- For directors, shareholders and persons with significant control: identity verification information required for our Companies House Authorised Corporate Service Provider (ACSP) duties
Automatically when you use the website
This site does not use tracking cookies, analytics, or behavioural advertising. The only technical data we collect is what your browser sends with every request (e.g. IP address, browser version, request timestamps), which our hosting provider may log temporarily for security purposes.
3. How we use your information
We use your data only for the purposes set out below, and only where the law allows:

4. Who we share your information with
We share personal data only where it's necessary to provide our services or comply with our legal duties. Specifically:
- HMRC, Companies House, and other UK regulators — to file returns, accounts and confirmation statements on your behalf.
- Cloud accounting software we use to deliver your service (Xero, QuickBooks or FreeAgent, depending on your plan).
- Identity verification providers used for our ACSP duties under the Economic Crime and Corporate Transparency Act 2023.
- Formspree — our website's contact form is processed through Formspree (a third-party form-handling service) which forwards your submission to us by email. See the Formspree privacy policy.
- Cal.com — when you book a discovery call through our website, your booking is handled by Cal.com. See the Cal.com privacy policy.
- Our professional advisers (e.g. legal counsel, professional indemnity insurers) where strictly necessary.
We never sell your personal data, and we never share it for marketing purposes.
5. International transfers
Some of the cloud services we use (e.g. Cal.com) may store data outside the UK. Where that happens, we rely on transfer mechanisms approved under UK GDPR (such as adequacy decisions or the UK International Data Transfer Addendum) to keep your data protected.
6. How long we keep your data
- Enquiry data (you contacted us but didn't become a client): up to 12 months, then deleted.
- Client records: at least 6 years from the end of the accounting period they relate to, in line with HMRC's record-keeping requirements and our professional body's standards.
- Anti-money-laundering records: 5 years from the end of the business relationship (or longer where required by law).
- Identity verification records created under our ACSP duties: 7 years, as required by Companies House.
7. Your rights
Under UK data protection law, you have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct anything inaccurate
- Ask us to delete your data (subject to legal retention rules above)
- Object to or restrict how we use your data
- Ask for your data in a portable format
- Withdraw your consent where we rely on consent (you can opt out at any time)
- Complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113

8. How we keep your data secure
- Encrypted document portal for sharing financial records
- Two-factor authentication on our accounting software accounts
- Encrypted email where appropriate
- Access to client data limited to the team members who need it
- Regular review of access logs and software updates
- Full professional indemnity insurance covering data breaches
9. Cookies
This website does not use any tracking, advertising or analytics cookies. The only cookies that may be set are strictly necessary technical cookies used by our hosting provider for security (e.g. blocking automated abuse). No consent banner is required because we don't set non-essential cookies.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top will reflect any change. For material changes, we'll notify existing clients by email.
